How Digital Marketing Manager collects, uses, and protects information.

Effective date: September 2, 2026

Digital Marketing Manager is operated by Toledo Web Designs. This policy explains how information is handled when Chambers of Commerce, their staff, and their members use the platform.

Information we collect

  • Account information such as names, business contact details, login information, roles, and preferences.
  • Chamber and member directory information supplied directly or through authorized CSV imports.
  • Website addresses, website review results, recommendations, tasks, reports, and related business information.
  • Information from services you choose to connect, including business locations, social profiles, audience, reviews, performance information, and content you choose to publish.
  • Technical information needed to operate and secure the service, such as timestamps, device and browser information, diagnostic events, and audit records.

How we use information

We use information to provide account access, complete requested website and digital-presence reviews, synchronize authorized business information, prepare dashboards and reports, support users, maintain security, and improve service reliability. When a member or authorized Chamber staff member explicitly chooses to publish content, we use the connected provider permission needed to deliver that content. The platform does not publish merely because an account is connected, and a provider can be disconnected at any time.

Google API information

When you connect Google Business Profile, Digital Marketing Manager requests permission to read and synchronize business accounts and locations you are authorized to manage and, when you explicitly request it, publish business updates or review replies. Your Google password is never provided to us. You can revoke access at any time from your Google Account security settings or disconnect Google from the platform.

Digital Marketing Manager's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (opens in a new tab), including its Limited Use requirements.

Facebook and Instagram information

When you connect Meta, the platform temporarily discovers the Facebook Pages returned by Meta through your direct Page access and authorized business portfolios, including Page identifiers, names, access credentials, and linked Instagram professional accounts, so that an authorized user can choose the profiles that belong to a member. After profiles are assigned, the stored authorization is minimized to the assigned Facebook Pages, assigned Instagram professional accounts, and the linked Page credentials required to operate those Instagram accounts. Unassigned discovered Pages and their access credentials are removed. Reauthorization is minimized again when assignments already exist.

The platform sends a post, image, or scheduled post to Facebook or Instagram only after an authorized user explicitly selects the destination and clicks the applicable Publish or scheduling control. Connecting an account does not publish content. Meta information is not sold.

Connected profile information and encrypted authorization credentials are retained while the connection is needed to provide the service. Disconnecting a profile from a member removes that member-profile association and its monitoring snapshots, but does not revoke the account-level Meta authorization. Choosing Revoke for the Meta connection asks Meta to remove the user's granted permissions and always clears the locally stored authorization credentials, even if Meta does not confirm the provider-side request. You may also remove the app in Facebook's Business Integrations settings. For deletion of other platform-held account data, follow the Data Deletion instructions.

Sharing and selling

We do not sell personal information or connected-provider information. Information may be shared with the Chamber or member account that controls the applicable workspace, with vendors that help operate the service under appropriate confidentiality and security obligations, or when required by law.

Retention and deletion

Information is retained while it is needed to provide the service, meet contractual or legal obligations, resolve disputes, and maintain security records. Authorized account administrators can request exports or account deletion through the platform's data-governance tools. Destructive account purging is not yet automated; verified requests are quarantined for review and require Toledo Web Designs to complete the final deletion process.

Security

We use access controls, encryption for stored provider credentials, audit records, and operational safeguards designed to protect information. No online service can guarantee absolute security.

Your choices

You may update account information, adjust notifications, disconnect connected services, revoke provider authorization, or ask the Chamber or Toledo Web Designs for assistance with access, correction, export, or deletion requests.
